For sales reps, the most useful AI is the one that handles the writing after each call or customer visit. You sit in the car, speak two minutes of notes while you still remember everything, and get back clean call notes for your CRM and a follow-up email for the customer. Recording calls: the rule first

Many sales AI tools join or record calls. That needs the customer's consent. In the US, federal law and most states allow recording with one party's consent, but some states require everyone's, according to the Digital Media Law Project, and many companies have their own policy. Ask at the start of the call and record only with a clear yes.

The approach on this page avoids the problem: you dictate your own notes after the call. That is only your voice, it works for phone calls, video calls and visits, and it often gives better notes, because you say what mattered instead of everything that was said.

Recording laws differ by country and, in the US, by state. When in doubt, do not record, and check your company's policy.

Example 1: visit notes in the parking lot

We wrote these examples ourselves to show the idea. They are not real app output, and your results will look different.

Visit at Hartley Dental, September 24, with Dr. Chen and the office manager, Sarah. They have three treatment rooms, want to replace the old sterilizer before January. Budget around 9,000. They liked the compact model but worry about service times, last supplier took two weeks. I promised a quote with our 48-hour service plan by Friday. Sarah decides with Dr. Chen, final call mid October. Competitor is also quoting.

The finished call notes:

Summary
- Hartley Dental plans to replace its sterilizer before January; three treatment rooms.
- Budget about $9,000. Interested in the compact model.
- Main concern: service response times (previous supplier took two weeks).
- A competitor is also quoting.

Decisions
- We send a quote including the 48-hour service plan.

Action items

These notes go straight into your CRM. Everything in them came from your voice note; the AI only sorted it.

Example 2: the follow-up email

From the same result, tap Follow-up email. Or start a new Write a message task and say what the email should say. A follow-up built from the notes above could read:

More templates for this step: follow-up email templates and examples. Check two things: that the quote really includes what the email says, and that the service promise matches your company's actual terms. The AI knows only what you told it.

Example 3: answering a price objection

The prospect's email (pasted into Reply to a message):

Thanks for the quote. Honestly, it's about 15% more than the other offer we got. Is there anything you can do?

What you tell it (in What do you want to achieve?):

Professional, not pushy. No discount on the price. But I can offer free installation, normally 400 dollars. Remind her of the 48-hour service, the other supplier doesn't have it as far as I know, but don't claim that. Offer a short call on Thursday.

The finished reply:

Hi Sarah,

thanks for your honest feedback, I appreciate it.

I can't lower the price of the unit itself, but I can include installation free of charge, which normally costs $400.

The quote also includes our 48-hour service plan. When you compare the offers, it's worth checking how quickly each supplier guarantees a technician on site.

Would a short call on Thursday help? I'm happy to go through both offers with you.

You said "don't claim that" about the competitor, so the reply asks her to compare instead. Always check that no claim slipped in that you cannot back up.

Tips for sales notes by voice

  • Dictate within five minutes. Details fade fast, especially after back-to-back visits.
  • Say names and roles: who decides, who uses the product, who pays.
  • Say numbers and dates twice if they matter, and check them in the result.
  • End with the next step. "I send the quote by Friday" becomes an action item.
  • One call per note. Separate notes are easier to paste into the right CRM record.

AI for sales teams, Salesforce and CRMs
