The AI added the order, the bullets and a good subject line. The price, the timeline and the payment detail came from you. Check them anyway: an extra zero in a proposal is expensive.

Example 2: a polite payment reminder

A first reminder should be short, friendly and exact.

Keep legal steps out of AI drafts

Late fees, interest, deadlines with consequences or collection steps depend on your contract and the law where you and your client are. Do not let an AI add them to a reminder. If you need them, get advice first. This page is information, not legal advice.

Example 3: recap of a call where the scope changed

Scope creep often starts with a friendly "could you also...". A short recap in writing protects both sides. Right after the call, open Summarize a meeting and speak your summary:

Call with Maria from Lumen Studio, September 24. She wants two extra landing pages on top of the five we agreed. That's outside the original scope. I said yes, 600 dollars extra, and the launch moves from October 10 to October 17. She sends the texts for the new pages by October 1. Still open: whether she wants a blog later.

Tips for client emails by voice

  • Start with who and why. "Email to Jonas, proposal after today's call" frames everything that follows.
  • Say the numbers slowly and check them in the result: prices, dates, invoice numbers.
  • Say what not to say. "Don't promise a discount" works; the AI follows what you tell it, and you still check.
  • Use the client's words. If they said "online cake orders", say that too. It makes the email sound like you listened.
  • Keep the final read. The email goes out in your name.
