How to write a follow-up email

How to write a follow-up email after an interview, a job application or no response: a template to copy, subject lines, timing and a worked example.

A good follow-up email is short and does three jobs: it reminds the reader what came before (the interview, your application, your last email), it says what you need now, and it makes the next step easy. Reply in the same thread when you can, stay friendly, and ask one clear question. The template below works for most cases; the sections after it adapt it for interviews, job applications and emails that got no answer.

Follow-up email template

Copy this into your email app and replace everything in square brackets. Delete the lines you do not need.

Subject: Following up: [topic]

Hi [Name],

I'm following up on [my email / our call / my application] from [date] about [topic].

[One sentence with the key fact or a short reminder of what you asked.]

Could you let me know [the one thing you need]?

If it helps, I can [make it easy: send the document again / talk on a quick call / adjust the date].

Thank you,

The line that matters most is the question. "Any update?" is easy to ignore. "Could you tell me whether the delivery is still on for Friday?" can be answered in one line.

Follow-up email after an interview

After an interview, the first follow-up is a thank-you. Send it soon, while they still remember you, and address the person who interviewed you by name. If several people interviewed you, write to each one or to the main contact.

Subject: Thank you for today's interview

Hi [Name],

Thank you for taking the time to talk with me today about the [job title] role.

I enjoyed hearing about [something specific from the interview].

Our conversation made me even more interested in the job, especially [task or goal they mentioned].

[Optional: One thing you forgot to mention, in one sentence.]

I look forward to hearing about the next steps.

If they told you when they would decide and that day has passed, send a second, shorter note in the same thread:

Hi [Name],

I hope your week is going well.

I'm following up on my interview on [date] for the [job title] role.

I'm still very interested and wanted to ask if there is any update on the timeline.

Follow-up email after a job application

When you applied but have not heard back, name the role exactly as it was posted, say when you applied, and give one reason you fit. Keep it to a few lines; your application already has the details.

Subject: Following up: [Job title] application

Hello [Name or Hiring team],

I applied for the [job title] position ([job ID, if there is one]) on [date].

I'm very interested in the role because [one specific reason that matches the posting].

Could you tell me where you are in the hiring process?

I'm happy to send any further documents.

Follow-up email after no response

When a business email got no answer, assume the reader is busy, not rude. Put your earlier email in one line, repeat the question and make it easy to answer.

Subject: Re: [original subject]

Hi [Name],

I wanted to bring my email from [date] back to the top of your inbox.

In short: [the question in one sentence].

A quick yes or no is enough for now.

If the second follow-up also gets no reply, close the loop politely:

Hi [Name],

I haven't heard back, so I'll assume the timing isn't right.

If anything changes, just reply to this email and I'll pick it up from there.

Follow-up email after a meeting

After a meeting, the follow-up is a short recap: what was decided, who does what by when, and the next date. What you might say into your phone:

Okay, follow-up to Daniel Brooks at Harbor Logistics.
I had the interview last Tuesday, the fourteenth, for the operations coordinator job.
He said they'd decide by end of last week, and I haven't heard anything.
I don't want to sound pushy.
Oh, and mention the scheduling spreadsheet thing, he seemed to like that.
And say I can start in October if that matters.
Keep it professional but warm.

The finished email (Email, Professional):

Subject: Following up: Operations Coordinator interview

Hi Daniel,

I hope you're doing well.

I'm following up on my interview on Tuesday, the 14th, for the Operations Coordinator role.

I really enjoyed our conversation, especially the discussion about the scheduling spreadsheet I built for my current team.

I'm still very interested in the position and wanted to ask whether there is an update on your timeline.

In case it helps with planning, I could start in October.

Thank you again for your time.

Best regards,
[Your name]

Everything in the email was in the voice note. The difference is order and tone: the reminder comes first, the question is clear, and the start date is offered as help, not pressure.

Subject lines for follow-up emails

  • Reply in the original thread and keep its subject: "Re: Delivery for order 4471".
  • For a new email, lead with the topic: "Following up: Marketing Coordinator application".
  • After an interview: "Thank you for today's interview" or "Thank you, [Job title] interview".
  • After a call: "Following up on our call about [topic]".

Avoid subject lines that only say "Checking in" or "Quick question". They say nothing about the topic, so the email is easy to skip.

When to send it

There is no official rule for follow-up timing. What works in practice:

  • They named a date: wait until it has passed, then follow up.
  • They named no date: give them a few working days before the first follow-up.
  • You already followed up once: leave a little more time before the next one, and make it the last.

You can write the follow-up while it is fresh and still send it later. In the Gmail app on Android, write the email, tap More at the top right and then Schedule send. Google notes that scheduled emails are sent in the time zone you scheduled them in.
