AI for construction and the trades: site reports and customer emails by voice

AI for contractors and the trades that handles the paperwork: daily site reports, service reports and customer emails by voice, with worked examples and limits.

Updated September 25, 2026 · 6 min read

For contractors and tradespeople, the most useful AI right now is not the one that estimates jobs or reads plans. It is the one that takes the paperwork off your evening: the daily site report, the service report for the customer, the email about a delay, the notes from a site meeting. You talk for a minute in the truck, and the AI writes a clean report or email you check and send. Retexta is an Android app that does this: you talk, it writes the finished text. It does not calculate quantities or prices, and it does not read drawings.

Your task What you do Retexta goal Where to find it
Daily site report Speak weather, crew, work done, deliveries, problems, tomorrow Take notes, Structured notes, or Something else More templates
Service report for the customer Speak what you found, what you did, what is still needed Something else ("service report for the customer") More templates
Email about a delay or a change Speak the reason, the new date and what the customer needs to do Write a message, type Email, style Professional Start screen

Example 1: a daily site report from the truck

We wrote these examples ourselves to show the idea. They are not real app output, and your results will look different.

What you might say (Take notes):

Daily report, Maple Street, the Peterson kitchen and bath. September 24. Dry, about 60 degrees. On site me, Luis and Tom, 7 to 3:30. Finished the tile in the bathroom, grouted half. Kitchen: base cabinets set and leveled. Countertop delivery was supposed to be today, didn't come, supplier says Friday. Found a soft spot in the subfloor by the tub, about two square feet, took photos, need to tell Mrs. Peterson. Tomorrow finish grout, start upper cabinets.

The finished report:

Daily report: Peterson kitchen and bath, Maple Street
Date: September 24
Weather: Dry, about 60°F
Crew: [Your name], Luis, Tom (7:00 am to 3:30 pm)

Work completed
- Bathroom: tile finished, about half grouted
- Kitchen: base cabinets set and leveled

Deliveries
- Countertops: not delivered as planned. Supplier now says Friday.

Issues
- Soft spot in the subfloor next to the tub, about 2 sq ft. Photos taken. Customer to be informed.

Plan for tomorrow
- Finish grouting the bathroom
- Start installing upper cabinets

If your company or client requires a specific report format, give the AI those headings in your voice note, or use Something else and describe the format.

Example 2: the email about a delay

What you might say (Write a message, Email, Professional):

Email to Mrs. Peterson. Countertops didn't arrive, supplier says Friday, so kitchen finish moves from Monday to Wednesday next week. Also found a soft spot in the subfloor by the tub, needs fixing before we can finish the bathroom floor. Want to show her Thursday morning when she's home, it'll take ten minutes. I'll send a price for the repair after she's seen it.

The finished email:

Subject: Update on your kitchen and bathroom

Dear Mrs. Peterson,

a quick update on your project:

Kitchen: The countertops were not delivered today. The supplier now expects them on Friday, so the kitchen will be finished on Wednesday next week instead of Monday.

Bathroom: While tiling, we found a soft spot in the subfloor next to the tub. It needs to be repaired before we can finish the bathroom floor. I'd like to show you on Thursday morning; it will take about ten minutes. After that, I'll send you a price for the repair.

Does Thursday morning work for you?

Best regards,
[Your name]
[Company]

The email says a price will follow. It does not name one, because you did not say one. That is how it should work: the AI shapes the words, you supply the facts and the numbers.

Example 3: a service report for the customer

What you might say (Something else, task: "service report for the customer"):

Service call at the Nguyen house, September 24. Water heater not heating. Found the heating element on the bottom burned out. Replaced the element, flushed the tank, tested, hot water back after about 40 minutes. Anode rod is worn, should be replaced within the next year, not urgent. Told Mr. Nguyen.

The finished service report:

Service report
Customer: Nguyen
Date: September 24

Problem reported
Water heater not heating.

Findings
The lower heating element was burned out.

Work performed
- Replaced the lower heating element
- Flushed the tank
- Tested: hot water restored after about 40 minutes

Recommendation
The anode rod is worn and should be replaced within the next year. Not urgent. Discussed with the customer on site.

What Retexta does not do

Many searches for "AI for construction" are about estimating, plans, drawings, design and safety. Retexta does none of these:

  • No estimating, quantities or prices. Make your estimate in your own software or spreadsheet. Retexta can write the email that goes with it, using the numbers you give it.
  • No plans or drawings. It does not read or check construction drawings.
  • No safety compliance. Safety reports and checklists follow your company's and your regulator's rules. You can dictate notes, but the required forms come first.

Tips for voice reports on the job

  • Record in the truck, not next to the saw. Noise makes transcription worse; more tips in how to improve speech to text accuracy.
  • Say numbers clearly, with units: "two square feet", "sixty degrees", "three thirty". Check them in the result.
  • Dictate before you drive off. Two minutes on site beat twenty minutes from memory in the evening.
  • Use the same order every day: weather, crew, work, deliveries, problems, tomorrow. The reports get more consistent.
  • Already recorded a memo in another app? Retexta does not appear in the Android share menu. Save the memo on your phone, then use Import audio in Retexta and pick the file. See how to transcribe a voice memo on Android.

How to write a site report in Retexta

  1. Open Retexta and tap New task.
  2. Tap More templates, then Take notes (or Something else, if you want to describe your own report format in Describe your task).
  3. Tap Record audio and speak your report.
  4. Retexta transcribes on its servers and writes structured notes. On the result screen you can switch to another format, such as a task list.
  5. Check numbers, names and times, then copy the report where it needs to go.

For emails to customers, tap Write a message on the start screen instead, choose Email and a writing style such as Professional.

Every goal except Transcript only is part of Retexta Pro, and so is Import audio. Retexta is free to try: new users get a few free Pro results to view in the app. Copying, sharing and exporting results need Retexta Pro or credits, and so does everything after the free results.

Questions

Good to know

How can contractors use AI?

The easiest win is the paperwork after the work: daily site reports, service reports for customers, emails about delays or changes, and notes from site meetings. You speak for a minute in the truck, and the AI turns it into a clean report or email you check and send.

Can AI do construction estimating or read plans?

Some specialized construction software offers that. Retexta does not: it does not calculate quantities or prices, and it does not read plans or drawings. It writes text from what you say, paste or upload, including the email that goes with an estimate you made elsewhere.

Is a voice-dictated daily report good enough?

It can be, if you say the facts that belong in it: date, weather, crew, work done, deliveries, problems and the plan for tomorrow. Check numbers, names and times before you file it, and follow your company's or client's required report format if there is one.

Does it work with a loud job site?

Background noise makes any transcription worse. Record in the truck or a quiet corner, hold the phone close and speak in short sentences. Check the result for misheard words, especially numbers and material names.
