An action item is one task from a meeting with one owner and one due date, written so that anyone can tell when it is done. The simplest action items list has three columns: task, owner, due date. A tracker adds status and priority so you can follow the items across meetings. Copy the templates below, then read the examples: most action items fail because they are vague, not because the template is wrong.
What makes a good action item
| Part | Good | Weak |
|---|---|---|
| Task | Starts with a verb and names the result: "Send the revised budget to Maria" | "Budget" or "Look into the budget" |
| Owner | One person by name: "Jo" | "The team", "Marketing", "Someone" |
| Due date | A real date: "October 3" | "Soon", "Next week", "ASAP" |
| Done when | Clear from the task itself: the budget has been sent | Unclear: when has someone "looked into" it? |
If a task has two owners, split it into two action items or pick the person who is accountable. If nobody takes a task in the meeting, write "owner: open" and bring it up again, instead of quietly leaving it out.
Action items list template
Paste this at the end of your minutes or notes. It is the same structure as the action items section in our meeting minutes template.
ACTION ITEMS: [Meeting name], [Month Day, Year]
- [ ] [Verb + task], owner: [Name], due: [Month Day]
- [ ] [Verb + task], owner: [Name], due: [Month Day]
- [ ] [Verb + task], owner: [Name], due: [Month Day]
Open (no owner yet)
- [Task], to be assigned at the next meeting
Action items tracker template
A tracker keeps every item from several meetings in one place. Paste the table into a spreadsheet or a document, one row per item.
| # | Action item | Owner | Due | Priority | Status | From meeting | Notes |
| 1 | [Verb + task] | [Name] | [Date] | [High / Medium / Low] | [Open / In progress / Done / Blocked] | [Date] | [Blocker or link] |
| 2 | [Verb + task] | [Name] | [Date] | [High / Medium / Low] | [Open / In progress / Done / Blocked] | [Date] | [Blocker or link] |
| 3 | [Verb + task] | [Name] | [Date] | [High / Medium / Low] | [Open / In progress / Done / Blocked] | [Date] | [Blocker or link] |
How to use it:
- Add items during or right after the meeting, while people still remember what they agreed to.
- Open every meeting with the tracker. Go through the open items first: done, in progress, blocked.
- Move a due date only with the owner. Write the new date and keep the old one in the notes.
- Never delete a row. Mark it done or dropped, with a word on why.
Action items examples
We wrote these examples ourselves.
| Vague | Clear action item |
|---|---|
| Website | Send the new homepage text to Sam, owner: Lee, due: Oct 2 |
| Check the venue | Call the Riverside Hall and confirm the date October 18, owner: Ana, due: Sep 30 |
| Follow up with the client | Email Carter & Sons the updated quote, owner: Raj, due: Sep 27 |
| Hiring | Post the job ad on the company careers page, owner: Mia, due: Oct 1 |
| Talk about the budget next time | Put "Q4 budget" on the agenda for October 8, owner: Chris, due: Oct 6 |
The last row shows a useful trick: when a topic needs more discussion, the action item is to put it on the next agenda. Our guide on how to write a meeting agenda shows how to turn it into an agenda item.
Pull action items out of a meeting with Retexta
Retexta is a cloud voice to text and AI writing app for Android. Its meeting protocol lists action items and keeps owners and dates when they are mentioned in the recording.
- Open Retexta and tap New task.
- Under What do you want to do?, tap Summarize a meeting.
- Under Add your input, tap Record audio to speak your summary (or record the meeting, with everyone's agreement), Import audio for a recording you already have, or Paste text for a transcript or notes.
- Retexta transcribes the audio on its servers and writes the meeting protocol, including an Action items section.
- To get only the tasks, use Generate action items among the meeting outputs. The result is a checkbox list that keeps dates, owners and priorities when they were mentioned. Share action items sends just that part.
- Check the list against the template above: one owner, one real date, a verb at the start. Retexta marks results with "AI-generated. Check important details."
The AI can only keep an owner or date that someone actually said. So say it out loud in the meeting or in your summary: "Lee sends the homepage text to Sam by October 2."
Summarize a meeting, Generate action items and Import audio are part of Retexta Pro. Retexta is free to try: new users get a few free Pro results to view in the app. Copying, sharing, exporting and screenshots need Retexta Pro or credits, and so does everything after the free results.
Speak action items in one pattern
Who, does what, by when: "Ana calls the Riverside Hall by Monday." A spoken summary in this pattern gives you clean action items, whether you type them up yourself or let an app do it.
